Scope

This Refund Policy applies to professional services engagements with Cloud Based Data Tools (74 Hargrave Road, Banks Creek, Queensland 4306, Australia). This website does not sell physical products or run an online checkout. Fees are billed by invoice under a written scope.

Eligibility

Refund eligibility depends on how far the engagement has progressed and whether the cancellation is initiated by you or by us. Deposits and milestone fees are described in your scope letter.

Timeframe to request a refund

Refund requests must be sent in writing to hello@cloudbaseddatatools.digital within 14 days of the invoice date for the disputed fee, or within 7 days of a cancellation notice — whichever is earlier — unless Australian Consumer Law provides a longer period for a particular guarantee.

Full refunds

A full refund of fees paid for an engagement applies if we cancel before substantive fieldwork begins, or if you cancel in writing before the agreed start date and before we have commenced file intake review, provided no non-refundable third-party costs were authorised by you.

Partial refunds

If you cancel after file intake or sampling has started, we may refund the unused portion of prepaid fees after deducting fees for work already performed (scoping finalisation, intake indexing, agreement mapping, sampling, drafting) at the rates in the scope. Partial refunds are calculated in good faith from time records and deliverable status.

Non-refundable items

The following are generally non-refundable once incurred or delivered: completed findings packs and board briefs already issued; scheduled walkthrough sessions that occurred; and third-party costs you pre-approved in writing (for example specialist courier or archival retrieval). Indicative website price lists are not invoices and create no refund obligation on their own.

Deposits

Where a scope requires a deposit to reserve start dates, the deposit is credited toward the engagement fee. If you cancel after the deposit is paid but before start, we retain a reasonable administration portion (up to 25% of the deposit or AUD $350, whichever is lower) unless the scope states otherwise, and refund the balance.

Cancellation

Either party may cancel by written notice. If we cancel for reasons other than your material breach or failure to provide required files after reasonable reminders, prepaid fees for unfinished work are refunded.

Rescheduling

You may request to reschedule a start date or walkthrough once without fee if you give at least 5 business days’ notice. Shorter notice or repeated reschedules may incur a rescheduling fee disclosed in the scope, or may be treated as cancellation if we cannot reallocate the reserved period.

No-shows

If your nominated contacts fail to attend a confirmed walkthrough or discovery session without at least 1 business day’s notice, that session may be charged as delivered and a replacement session invoiced separately.

Work already started

Once agreement mapping or sampling has begun, fees for completed stages remain payable. We will provide a status summary of work performed to support any partial refund calculation.

Purchased materials

We do not typically purchase materials for clients. If a scope authorises a specific purchase on your behalf, that cost is non-refundable once ordered, and ownership of the material transfers to you as stated in the scope.

Refund process and timing

Email hello@cloudbaseddatatools.digital or call +61 (07) 4502 6512 with your organisation name, invoice number, and reason. We confirm receipt within 3 business days and aim to decide within 10 business days. Approved refunds are returned via the original payment method within 10 business days of approval, or by electronic funds transfer to an Australian account you nominate if the original method is unavailable.

Exceptions

Nothing in this policy limits rights you may have under the Australian Consumer Law. Engagement-specific refund terms in a signed scope prevail over this page to the extent of any conflict, except where the law requires otherwise.
